Security & IP Protection

How your business data
and IP stays protected.

This document answers the most common concern business owners have before working with Smart Future Gen: what happens to sensitive information about your business, your methods, your clients, and your suppliers.

The concern we're addressing

"I'm concerned about my IP, business processes, copyrights, methods. What are my guarantees?"

01

Two layers of protection

Your IP is protected at two distinct levels: the platform we use to build your automation (GoHighLevel), and the working agreement between you and Smart Future Gen. Both matter — and both are covered here.

02

GoHighLevel platform security

GoHighLevel (GHL) is an enterprise-grade platform used by tens of thousands of businesses worldwide. Here is how it protects your data at the infrastructure level.
GHL Privacy and Security
GHL Data Processing Agreement

Hosted on Google Cloud Platform & Amazon Web Services
GHL does not run on private servers. Your data lives in the same infrastructure used by the world's largest enterprises — with independently audited security controls, 99.5%+ uptime guarantees, and SOC 2 Type 2 compliance on the AWS side.
Data encrypted in transit and at rest
All data transmitted to and from the platform is encrypted using industry-standard TLS. Data stored on GHL's servers is encrypted at rest. Intercepting or accessing your data outside of authorised logins is not realisticly possible.
Tenant separation — your data is isolated
GHL operates a strict multi-tenant architecture. Your sub-account is logically separated from every other business on the platform. No other GHL user or agency can access your contacts, automations, or business data.
Granular access controls and audit logging
Access to your account is controlled by role-based permissions. Every action taken inside the platform is logged with a timestamp and user record. You can see exactly what has been accessed and when.
EU Data Privacy Framework certified
GHL holds certification under the EU Data Privacy Framework (updated September 2025) and has published a formal Data Processing Agreement. This aligns with GDPR standards and the principles of South Africa's POPIA legislation.
Your sub-account belongs to you
The GHL sub-account built for your business is yours. All contacts, automation flows, and data in it remain your property. If you ever stop working with Smart Future Gen, the account and everything in it transfers to you — nothing is lost or held.
03

What Smart Future Gen actually needs access to

A common misconception is that setting up automation requires seeing all your business information. In practice, a custom automation build only requires a narrow and specific set of inputs. Here is exactly what is needed — and what is not.

Information type Required for build? Notes
Customer contact data (names, numbers, emails) Limited Only the fields needed for the automation flows — e.g. name and phone for conversation automation
Your conversation scripts and messaging Yes We write these with you — but they reflect your voice and methods, not ours
Your pricing Sometimes Only if pricing is referenced in automated responses — you control what is included
Your supplier names or relationships No Not part of automation setup
Your proprietary methods or frameworks No We build the plumbing — your methodology is what fills it
Financial records or internal reporting No Never requested or required for any service we provide
Business processes and workflows High level only We need to understand the customer journey or process — not your internal operational detail
04

The contractual layer — your IP in writing

Platform security protects your data from external threats. The working agreement protects your IP from internal exposure. Before any build begins, Smart Future Gen signs a formal confidentiality agreement covering the following.

Confidentiality & IP Agreement — what it covers

Every client engagement at Smart Future Gen begins with a signed agreement that is specific to your business. It is not a generic template — it covers the information categories that matter to you.

  • All business information shared during the engagement is treated as strictly confidential
  • Smart Future Gen cannot share, sell, or reference your methods, processes, or client data with any third party
  • Intellectual property created specifically for you during the build (scripts, flows, automations) belongs to you
  • Smart Future Gen retains no rights to your business methods, frameworks, or proprietary information
  • Confidentiality obligations survive the end of the engagement — they do not expire when the project ends
  • You can request deletion of any shared information at any time
05

In plain terms

Here is what this means practically for a business owner thinking about long-term protection.

Your IP
Your methods, frameworks, and business logic are never extracted, documented, or reused. You bring the expertise. We build the infrastructure around it.
Your suppliers
Supplier information is not part of the automation process.
Your client data
Stored in your own GHL sub-account, which you have access to. Encrypted. Isolated from all other businesses. Accessible only to Smart Future Gen and users you authorise. You always keep the right to request deletion of any shared information at any time.
Your account
Everything built specifically for you belongs to you. If our working relationship ends tomorrow, you keep the account, the automations, and all the data inside it.

If you have specific concerns not covered here — particular data types, specific clauses you want in the agreement, or questions about how a particular piece of your business would be handled — raise them before we start. That conversation is part of the process, not an obstacle to it.
